It may be your first time chartering a private aircraft, or it might be your 1000th time. Either way, we’ve created this guide to help you understand the air charter process .

Getting Started

The whole air charter process starts with a reach-out from you. You can use the quote or the contact us page on this website, call us at (888) 490-4585, or email us at info@go-aviation.com. Once we receive your request, we get to work. You will be assigned a professional charter representative dedicated to your specific needs.

Single Charter Requests

When presented with a single charter request, our charter professionals will consult with you to determine the right type of charter aircraft for your flight. If we operate the type of aircraft you need, we’ll check our schedule to determine aircraft and crew availability with the Chief Pilot or Director of Operations, and contact the Director of Maintenance to confirm aircraft readiness. If we do not have an aircraft that meets your requirements, or crew available for your trip, we work with our network of over 500 FAA certified operators around the country to find the best alternative solution.

Once this information is compiled, your charter representative will put together a charter quote for your review, providing airport, airplane, and crew, and pricing/payment information. Attached to this quote is a copy of our Trip Terms and Conditions, which outline our policies. Any questions you have can be answered by your charter specialist.

Multiple Charter Requests (Client Accounts)

You might have air charter needs that span beyond a single trip. We frequently work with businesses and individuals who have the need to fly on a regular basis. In these cases, when you reach out to us, you will be assigned a customer charter representative to handle your account. They will collaborate with other Go Aviation experts to develop a customized client account proposal that outlines your requirements, and how Go Aviation can best meet your needs.

Once we develop the proposal, we will present it to you, going over all of the details. If there is any part of your mission that Go Aviation cannot complete, we will review alternative options that we developed to meet those needs. During this presentation, we will take your comments, suggestions, and desires into account to better formulate a satisfactory agreement.

Once the client and Go Aviation have reached an agreement on the contents of the customized client account proposal, Go Aviation will integrate the contents of the proposal into a formal agreement.

Final Steps to Confirm Your Flight

You’re now on your way. You’ve reached out to Go Aviation, and have worked with an assigned charter specialist to help develop your trip plans. Once you confirm that our quote reflects your desires, and you agree to the Terms and Conditions, you will provide your charter representative with a signed copy of your charter quote. If you do not have a customer account with payment terms, we require payment before the wheels leave the ground. Payment information is provided on the trip quote, and your charter representative can provide further payment information if required.

For those who have a client account with Go Aviation, your Terms and Conditions and/or payment requirements may be different from clients who are using Go Aviation for a one-time charter. For questions regarding specific account information and requirements, contact your charter representative. However, even for those clients with customer accounts, we always require an itinerary confirmation.

Once everything is set, your charter representative will provide confirmation of your trip, including all of the important trip information. If you need more information than what we provided, feel free to let your charter specialist know, and we’ll get you what you need.

Lights, Camera, Action

The day is finally here, and you’re ready to take to the skies. Although you will not be required to check bags, go through security, and find your gate, we still recommend you arrive 30 minutes ahead of your planned departure time. Remember, the time of departure on your trip sheet is the planned “wheels up” time, not the time to arrive at the airport! If you arrive earlier than the crew, feel free to put your feet up and relax in the FBO. As soon as the crew arrives, we will do our best to accommodate an earlier than scheduled departure.

If you’re running a few minutes behind, don’t worry. Unlike the airlines, doors don’t close 10 minutes prior to departure. Your crew isn’t going to takeoff without you. We do ask, however, if you are running more than 30 minutes behind schedule to call your charter representative or your Captain. We’ll do the best we can to accommodate you.

When you arrive at the airport, proceed to the front counter of the FBO listed on your trip’s itinerary. Tell them that you are there for a charter flight, and tell the representative what tail number aircraft you will be flying on. Our crew will already be there, and its likely you’ll be able to see the aircraft you’ll be flying on on the airport ramp. The front desk representative for the FBO will call for the crew. All of Go Aviation’s pilots wear identification badges with the company logo. Your captain will greet you personally, and also introduce your copilot.

Your bags will be taken out to the airplane, and you will be free to complete any last minute business before departing. Once you’re ready, you will be escorted to the airplane. You’re on your way.

Upon arrival, the crew will work to coordinate your ground transportation and any other special needs. If you’re going to be using the same crew for another leg on the same trip, the Captain might provide you with his/her business card with their contact information on it so you will be able to easily communicate about the next leg.

After the Show

After your charter trip is complete, your charter representative may reach out to you for feedback on your trip. Don’t be afraid to voice any questions, concerns, or issues that you had. We work to make things perfect, and your feedback can be used for our improvement.
